The Title Insurance document processing comprises of two phases which are complimentary in nature.
Phase I − Bunching:
Scanned single page images are electronically stapled as multi page documents for further processing. To examine through all the frames (images) and mark the beginning of each new document based on File Number (Clerk file number), General Division Number\Number, Document Header for BOOK, Page type of processing.
Phase II − Indexing:
- Legal Indexing: Capturing legal description data, title information and other relevant details based on the posting needs from public records documents into a database file. Input to legal indexing is from Image bunching. Legal Indexing is the process of indexing the Legal data such as Map Book #, Plat book #, Section, Township, Range or Block, Lot and PIN.
- Title Indexing: Title Indexing is the process of Indexing the Title information such as Type of instrument, Grantor, Grantee, Loan amount, Loan type, Maturity date, Property address, PIN and specific remarks.
- Plat Edits: Capturing re-platted and condominium information along with the Legal information from documents to a database.
- Fallouts / Locates: Indexing the documents on the correct property index by interpreting the legal description on the documents that did not get posted initially.
